What the diagnosis found

In an aesthetics clinic, the treatment plan matters more than the appointment.

A client commits to a course of care, and every booking should follow from it. So we made the plan the centre of the system, and handed back what the clinic had been renting: its payments, its seats and its pricing.

How the diagnosis works

What we built

One system, configured for how an aesthetics clinic actually runs, replacing Timely and the third-party tools bolted around it.

  1. 0

Custom treatment plans on the client profile

Each plan automatically opens the right bookable slots, so clients self-book their treatments anytime.

  2. 1

    Website-integrated booking

Clients book directly from the clinic’s own site, into real availability the clinic controls.

  3. 2

    Digital consent capture

Consent taken via form and recorded straight onto the client’s profile, against the right procedure.

  4. 3

    Payments the clinic owns

Multiple methods, part-payments and built-in auto-debit, with no per-transaction platform fee and no third-party BNPL markup skimming the total.

  5. 4

    Clinic-set payment plans

Part-payment terms the clinic designs and controls itself, instead of handing that margin to an outside app.

  6. 5

    True multi-location

Real separate locations, each with its own staff and its own price points per service. No naming workarounds.

  7. 6

    Unlimited roles, no per-seat tax

Add as many staff members and access levels as the clinic grows into, without the subscription climbing per seat.

  8. 7

    Custom reminders and client communication

Sent from inside the system, tied to each client’s plan and appointments.

The operation before

The clinic ran on Timely, a capable booking tool, but a workaround for how an aesthetics clinic actually operates. It could take an appointment; it couldn't hold the things that matter in this business, treatment plans that unfold over time, consent captured against each procedure, different pricing at different locations.

And it quietly taxed the clinic for growing. Every new staff member was another paid seat on the monthly subscription. Every payment taken through its built-in tools carried a processing fee. Buy-now-pay-later apps like Afterpay skimmed a markup the clinic couldn't control or adjust. Even running more than one location meant a workaround, no true multi-site option, so different branches had to be faked by naming services differently, with no clean way to set a different price per location.

In other words, the platform charged more the more successful the clinic became, on seats, on transactions, on payments, while still not fitting the way the clinic actually delivered care.

What we found

The signature of an aesthetics clinic isn't the single appointment, it's the treatment plan. A client commits to a course of care, and the booking should follow from that plan, not be re-entered every time. Timely had no way to model this: a plan lived in someone's head or a note, and every session was booked from scratch.

So we built the plan as the centre of gravity. A treatment plan attaches to the client's profile, and the system automatically opens the right bookable slots for those treatments, the client can book them anytime, from the clinic's own website, with consent and history already tied to their record. Alongside that, we found the clinic was renting things it should own outright: its payments, its seats, its pricing. The system was built to hand all three back.

What we built

One system, configured for how an aesthetics clinic actually runs, replacing Timely and the third-party tools bolted around it.

  • Custom treatment plans on the client profile. Each plan automatically opens the right bookable slots, so clients self-book their treatments anytime.
  • Website-integrated booking. Clients book directly from the clinic's own site, into real availability the clinic controls.
  • Digital consent capture. Consent taken via form and recorded straight onto the client's profile, against the right procedure.
  • Payments the clinic owns. Multiple methods, part-payments, and built-in auto-debit, with no per-transaction platform fee and no third-party BNPL markup skimming the total.
  • Clinic-set payment plans. Part-payment terms the clinic designs and controls itself, instead of handing that margin to an outside app.
  • True multi-location. Real separate locations, each with its own staff and its own price points per service, no naming workarounds.
  • Unlimited roles, no per-seat tax. Add as many staff members and access levels as the clinic grows into, without the subscription climbing per seat.
  • Custom reminders and client communication. Sent from inside the system, tied to each client's plan and appointments.

The result

The clinic stopped paying to run its own business, and started delivering care the way it actually works.

  • The payment margin came home. No per-transaction platform fee, and the BNPL markup the clinic couldn't control is gone; part-payment terms are now the clinic's own.
  • Growth stopped costing extra. Staff and access levels can be added as the clinic and its clientele grow, without a rising per-seat bill.
  • Real multi-location. Separate locations with independent pricing and staff, no more naming workarounds.
  • Care that books itself. Treatment plans on the profile open the right slots automatically, with consent and history in one place.
