What the diagnosis found

The constraint was never features. It was rigidity.

The platform owned the process, so the builder’s way of working, and the trade data they wanted to run on, had nowhere to go. A system should be shaped to how a business runs, not the other way round.

How the diagnosis works

What we built

One scheduling system, configured to how this builder actually works, replacing a fixed, per-licence platform with something that fits.

  1. 0

A scheduling workflow shaped to their process

Jobs scheduled the builder’s way, not forced through a fixed template.

  2. 1

42+ trades onboarded onto the system

Every trade managed in one place, with the right access.

  3. 2

    Trade capacity modelling

Schedule against each trade’s real parallel-work capacity, so jobs land where they can actually be done.

  4. 3

    Trade performance tracking

On-time percentage, jobs not up to standard and quality comments: the track record a fixed tool has no field for, now built up job by job.

  5. 4

    Automated comms with trades

Trades are notified and updated automatically off the schedule, by SMS and more.

  6. 5

    Automated comms with supervisors

Supervisors kept in the loop automatically, so they stop chasing updates.

  7. 6

    A single source of truth

Every job, trade and update in one connected system.

  8. 7

    No per-licence tax

Onboard as many trades as the business needs without a per-seat bill climbing behind it.

The operation before

The builder ran on Buildertrend, and on paper it did the job, scheduling, subcontractor notifications, a central place for comms. But Buildertrend, like a big CRM, ships a fixed process. You don't shape it to how you build; you bend how you build to fit it. And the things this builder actually wanted to run on simply had nowhere to live.

They wanted to schedule against each trade's real parallel-work capacity, and to track the things that decide who you call next: how many jobs a trade delivered on time, how many came back not up to standard, the comments and quality notes that build up over dozens of jobs. A fixed platform has no field for any of that. On top of it, doing everything comes at a price, a heavy per-licence cost for an all-in-one they were only ever using a slice of.

What we found

The constraint was never features, Buildertrend has plenty. It was rigidity. The tool owned the process, so the builder's own way of working, and the trade-performance data they wanted to run on, had nowhere to go. This is the anti-CRM position exactly: a system should be shaped to how the business runs, not the business reshaped to fit the system.

So we built the schedule around the builder's real process, and made the trade, its capacity, its track record, its quality history, a first-class thing the system actually holds. Comms to trades and supervisors were automated off that same schedule, and licensing stopped scaling per seat as more trades came on.

What we built

One scheduling system, configured to how this builder actually works, replacing a fixed, per-licence platform with something that fits.

  • A scheduling workflow shaped to their process. Jobs scheduled the builder's way, not forced through a fixed template.
  • 42+ trades onboarded onto the system. Every trade managed in one place, with the right access.
  • Trade capacity modelling. Schedule against each trade's real parallel-work capacity, so jobs land where they can actually be done.
  • Trade performance tracking. On-time percentage, jobs not up to standard, and quality comments, the track record a fixed tool has no field for, now built up job by job.
  • Automated comms with trades. Trades are notified and updated automatically off the schedule, by SMS and more.
  • Automated comms with supervisors. Supervisors kept in the loop automatically, so they stop chasing updates.
  • A single source of truth. Every job, trade, and update in one connected system.
  • No per-licence tax. Onboard as many trades as the business needs without a per-seat bill climbing behind it.

The result

A build process that used to fit around the software now has software that fits around it.

  • 42+ trades on one system. The whole trade base managed in a single connected place.
  • Trade performance now visible. On-time percentage and quality tracked per trade, so scheduling decisions are made on a real track record instead of memory.
  • 8+ hours a week saved on comms. Trade and supervisor updates are automated off the schedule; the chasing is gone.
  • The process fits the builder. Not the other way round, with the trade data they run on finally captured.
  • No per-licence tax as they grow. More trades on the system without a climbing per-seat cost.
